Managing Notification Recipients

Recipients are the email addresses that receive your inventory notifications. This guide explains how to manage them effectively.

Accessing Recipient Management

Navigate to Notifications and scroll to the Manage Recipients section.

Adding a New Recipient

Step 1: Click Add Recipient

Click the Add recipient button.

Step 2: Enter Details

Full Name

  • Enter the recipient's full name
  • Used to identify recipients in lists

Email Address

  • Enter a valid email address
  • This is where notifications will be sent

Step 3: Save

Click Add Recipient to save.

The new recipient is now available for selection in any notification.

Editing a Recipient

Step 1: Find the Recipient

Locate the recipient in the Manage Recipients list.

Step 2: Click Edit

Click the edit icon (pencil) next to the recipient.

Step 3: Update Information

Modify name or email as needed.

Step 4: Save

Click Update to save changes.

Changes apply to all notifications using this recipient.

Removing a Recipient

Step 1: Find the Recipient

Locate the recipient in the list.

Step 2: Click Delete

Click the delete icon (trash) next to the recipient.

Step 3: Confirm

Confirm the deletion when prompted.

Warning: Removing a recipient removes them from ALL notifications they were assigned to.

Best Practices

Add Multiple Recipients

Don't rely on a single recipient:

  • Add backup contacts
  • Include team members responsible for ordering
  • Consider management for weekly/monthly summaries

Use Role-Based Recipients

Consider adding recipients by role:

  • Purchasing Manager
  • Inventory Coordinator
  • Store Manager
  • Business Owner

Keep Information Updated

When team members change:

  • Update email addresses promptly
  • Remove departed team members
  • Add new team members

Verify Email Addresses

Before relying on notifications:

  • Double-check email spelling
  • Confirm recipient can access the email
  • Test with a scheduled notification

Adding Recipients While Creating Notifications

You can also add recipients directly from the notification creation modal:

  1. Open the Create Notification form
  2. Click Add recipient in the recipients section
  3. Enter details
  4. Save the new recipient
  5. They're automatically selected for the current notification

Common Questions

Can I add the same email to multiple notifications?

Yes. Add a recipient once, then select them in any notification.

What happens if I delete a recipient used in notifications?

The recipient is removed from all notifications. Those notifications continue sending to remaining recipients.

Is there a limit to recipients?

There's no hard limit. Add as many recipients as needed for your business.

Can recipients unsubscribe?

Recipients can contact you to be removed. You manage all recipient changes through the app.
