Marking Items as Replenishing

When you've placed a purchase order for a product, you can mark it as "Replenishing" in StockWise. This helps track orders in transit and prevents duplicate orders.

Why Mark as Replenishing?

When to Use

Mark as replenishing when:

  • You've placed a purchase order
  • Inventory is in transit
  • Goods have shipped from supplier

How to Mark as Replenishing

Step 1: Open Variant Detail

Click on the product variant in the dashboard to open its detail page.

Step 2: Find the Action Banner

If the item is in "Order Now" or "Out of Stock" status, you'll see an action banner with options.

Step 3: Click "Mark as Replenishing"

Click the Mark as replenishing button in the banner.

Step 4: Confirm

The status changes to "Replenishing" (blue badge).

Marking as Received

When inventory arrives:

Step 1: Update Shopify First

Update your inventory quantities in Shopify admin.

Step 2: Open Variant Detail

Return to the variant detail page in StockWise.

Step 3: Click "Mark as Received"

Click Mark as received in the replenishing banner.

Step 4: Verify

Status recalculates based on new inventory levels.

Status Flow

Order Now → Mark as Replenishing → Replenishing
                                        ↓
                               Mark as Received
                                        ↓
                            Normal (or other status based on inventory)

Best Practices

Mark Immediately

Mark items as replenishing as soon as you place the order, not when it ships.

Update Shopify First

Always update inventory in Shopify before marking as received. StockWise reads inventory from Shopify.

Communicate with Team

If multiple people manage inventory, use replenishing status to communicate what's been ordered.

Don't Forget to Complete

Remember to mark as received when goods arrive. Stuck replenishing status can cause confusion.

What if I forget to mark as received?

The item stays in "Replenishing" status until you change it. Update when you remember.

Can I mark as replenishing from the dashboard?

Currently, this action is available on the variant detail page.

Does marking as replenishing affect forecasts?

No, it only changes the display status. Forecasts continue based on consumption patterns.

What if I cancel the order?

Click "Mark as received" to reset status, or wait until you have an actual order to track.

Workflow Example

Day 1: Order Placed

  1. Check dashboard, see "Order Now" status
  2. Place purchase order with supplier
  3. Open variant detail
  4. Click "Mark as replenishing"
  5. Status changes to "Replenishing"

Day 7: Inventory Arrives

  1. Receive goods at warehouse
  2. Update inventory in Shopify admin
  3. Open variant detail in StockWise
  4. Click "Mark as received"
  5. Status recalculates to "Normal"
